Job Introduction
Landmarc is facing an exciting future and as part of that we are looking to recruit a new Soft Services Manager that will look after our North Regions, to include Scotland and Northern Ireland, North and East regions.
The role is as much to act as support manager to introduce and implement a revised approach to Soft FM functions into everyday working practice, as it is to be the Subject Matter Expert in these same areas. The post holder will review existing processes and design, develop and champion the introduction of revised processes and procedures to ensure operational delivery teams have the tools to meet the standards demanded by the Contract and are capable of operating in the most efficient and effective manner. The potholder is also responsible for providing guidance to the wider Landmarc team, managing regional customer and supplier relationships, driving improvement and value within the region and for the customer.
In addition, the post holder will work with and oversee the delivery of a national catering support contract within region and a national waste management framework contract to ensure key Contract deliverables and service standards are met.
This role will require travel across all of the north regions as required, but there is an opportunity for this role to be based from home, when you are not required on site.
Main Responsibility
- Provide SME advice and support on all aspects of Soft FM delivery to Regional. Implement new processes and procedures as necessary in support of other contractually deliverable Soft FM requirements
- Understand the specific requirement of JSP 456 Pt.2 Vol 3 chap 5 (assurance) and JSP 456 Pt.2 Vol 1 (menu planning) ensuring all sites comply on a daily, weekly and monthly basis
- Ensure the sites are compliant with all Soft FM specification (cleaning, all waste streams, laundry etc.) and JSP 456 before annual audits. Update regional and site teams on all JSP and updates and amendments
- Provide Technical and Operational support to the regional and site teams and assist them to address any concerns from the customer comments, concerns or observations
- Support and oversee the standards for effective management of Soft FM deliverables (to include, but not be limited to: BICS cleaning standards; fuels management and accounting; management of Issued Property and Defence Accommodation Stores; Accommodation services (HO/TB); Portable sanitation; oversight of ration accounting; retail and leisure services)
- Working closely with the customer and suppliers, develop annual and long-term delivery plans for the refresh of customer funded elements of the equipment and infrastructure required for continue and sustainable delivery of Soft FM outputs
- Oversee the implementation of Waste Management Plans for each operating Region reviewing with the teams on a regular basis
- Maintain, review and act upon the key business Soft FM risks and trends to minimise the risk to the business; the contract; the customer; End Users and wider stakeholders
- Support the preparation of routine operational reports on Soft FM matters as required. Support the design and specification of and implementation of measurement methodologies and dashboards to enhance business intelligence and enable the benchmarking of performance
- Support the process for procurement of Soft FM outputs and services when these are put out to tender
- Support a culture of continuous improvement across the region in the Soft FM space to empower staff to identify and make improvements in process, technology and capability to add value to the services delivered
- Analyse, understand and develop the regional Soft FM matrix to ensure the contractual outputs are understood and being met by the regions
The Ideal Candidate
- You will be an accomplished facilities management professional with a minimum of 5 years experience at managerial level in a either a facilities management or catering environment.
- Hold an IWFM Level 4 or equivalent
- You will have knowledge of ISO 9001
- Subject matter expertise in the food services Hazard Analysis and Critical Control Point (HACCP) management system;
- You will have equal knowledge and expertise in waste management and the regulatory framework regarding waste disposal
- Good knowledge of health and safety legislation as it applies to the FM industry
- Established skills in Windows Office environments and applications including MS Teams and Sharepoint
- Familiarity with the MoD catering support function and / or logistic support function
- Familiarity with management of fuels and fuels accounting
- Familiarity with industrial cleaning techniques and systems
- Familiarity with BICS cleaning standards
- You will have demonstrated the ability to develop policies, procedures and technical implementation documents from a standing start
- You will have strong written, verbal and presentational communication skills
- You will be able to chart an effective business strategy for enhancement of Soft FM Services in an environment where the way ahead is not always clear or established, making recommendations to the Management Committee
